Task Setup
Before users can start working with tasks in the project, the necessary task templates must first be created.
The Company Administrator has the permissions required to create the necessary templates and activate them on the projects..
Task Templates
Task templates are used to define the different types of tasks that can be used in the project. Examples include:
Technical Request
Variation Order
Inspection Tasks
It is recommended to create task types that match the project workflows, making it easier for users to select the correct type of registration.
Create a New Task Template
Task templates are created under the company settings.
Name and Prefix
When creating a new task template, both a name and a prefix must be specified, and optionally a color.
The name describes the task type, while the prefix is used for automatic numbering and identification of the tasks.
All new tasks are assigned a unique number based on the selected prefix.
For example, if the prefix is TR, the tasks will be numbered as TR-1, TR-2, etc.
New templates will, by default, include:
Title
Description
Status
Location
Assigned To
Due Date
Watchers
Attachments
Customize Template
The template can be customized by adding additional data fields from scratch, specifying the field type, and placing them within the template.
Activate Template
Once the template has been created, it must be activated in the project where it will be used.
Note: Created templates can be used across multiple projects; they simply need to be activated for each project.
To activate a template, the administrator must click:
Project Settings in the left-hand menu β Select Task Templates β Activate the task template for the project and configure default assignees (optional).
When a task is created using a template, it will automatically be assigned to the configured user if this has been set up.
