Creation and Distribution of Tenders

Start by creating your tender

Updated over a week ago

Enter the title of the tender and optionally add an introductory text for the bidders. Select one or more contracts from your bidder database.

To select the correct project from the list when creating a tender, it is necessary to be assigned as the tender administrator for the projects first.
See the section Add Tender Manager

In connection with invited bidders, the tender administrator can create categories and bidders in their own company database, which is accessible to all tender administrators from the same company.
See the section Bidder & enterprises for information on how to create these.

The categories that have been created can now be added to the tender under Manage categories. The bidders will be selected later (see Part 3).

Set the deadline for the submission of bids, and if needed, create digital delivery requirements.
If bidders are allowed to ask questions regarding the tender, this can be set under Allow Questions, where recipients of the questions are selected. They will be able to view and respond to questions from the module.

Select from the list which bidders the tender should be sent to.
Configure access to the tender folders that bidders should have access to.

To ensure that bidders only have access to the folders containing the tender material, you set the permissions for the folders by selecting and right-clicking on the category and clicking Edit Permissions (as shown above).

In the overview, you can see the entire folder structure and deselect the other folders from here.

Note! The system includes a built-in security feature that provides a warning if folders are not selected when sending out the tender.

Click Send to preview the email that will be sent, along with the time settings and a list of which bidders the tender will be sent to.

When the tender closes, the tender administrator and data owner (developer) will be able to access the results by clicking View Bids or Download All Bids within the tender.
